Pack 99 Website Privacy Policy

Version 1.1 · Last updated November 2, 2026

1. Who is responsible

Pack 99 of Muslim Association of Puget Sound (MAPS), our charter organization, is responsible for information managed through this website and its leader and parent portals. Our address is 17550 NE 67th Ct, Redmond, WA 98052.

For privacy questions, copies, corrections, deletion, or email preferences, contact scouts_cubmaster@mapsredmond.org.

This policy covers this website's records and processing. Scoutbook, Scouting.org, and Active.com are managed separately and have their own terms and privacy policies.

2. Information we collect

Depending on your role and participation, we collect:

Information comes from parents, guardians, leaders, registration or roster imports, and operation of the service. This system does not store or use allergy, medication, or medical-condition information. Authorized den leaders must use Active.com to obtain that information for outings and events. Do not enter health information, upload medical forms, or copy medical details into website messages, assignments, notes, or other fields. Do not enter payment-card details, bank credentials, or Social Security numbers. If health information is submitted accidentally, notify us so it can be removed.

3. How we use information

We use information to verify access and family relationships; administer the pack; track participation, registration and advancement; communicate with families; organize meetings, events and volunteers; manage equipment; correct records; and protect the service from misuse.

We also use advancement information to support transfer to Scoutbook and provide parents with copies of their records.

We do not sell or rent personal information, use it for targeted advertising, or use family records for unrelated marketing.

4. Who can access information

Parents and guardians can see permitted information about their linked children. They cannot browse other families' private records. Approved leaders and administrators can access pack records for pack responsibilities; choosing a default den does not limit a leader's permissions to that den.

Family conversations are visible to linked parents or guardians and approved pack leaders. Approved leaders can see event attendance reservations and volunteer signups. Private scout and family photos are available to the linked family and approved leaders, rather than the public.

Pack personnel must use information only for authorized responsibilities and protect any copies they handle. Public or promotional use of a child's photo requires separate permission.

We may disclose information when required by law or when reasonably necessary to address a safety threat or investigate unauthorized access. Such disclosures are limited to the information appropriate for that purpose.

5. Providers and external tools

We use service providers to operate the website, including Supabase for data storage and authentication, Cloudflare for hosting and scheduled processing, and Brevo for email delivery. Google processes information when a leader chooses Google sign-in. Providers receive information needed for their respective functions and may process it in the countries where they operate.

Authorized leaders may use pack-authorized AI-connected tools to query or manage records. Information returned through those tools is also received by the selected external service and is subject to that service's applicable privacy terms. Such use must be limited to authorized pack work; leaders must limit personal information to what is needed for the authorized task. Health information must not be entered into this system or its connected tools.

External registration services and websites linked from this website have their own policies. In particular, ACTIVE distinguishes its processing from an organizer's processing in its Privacy Notice. Acceptance of another service's policy does not replace this policy.

6. Children's information and photos

This is an adult-operated service for approved leaders and authorized parents or guardians. We collect information about scouts from authorized adults and administrative records; we do not offer independent child accounts or invite children to submit information directly.

A parent or guardian may ask to review, correct, or remove information about their authorized child. Contact us immediately if you believe a child has independently supplied information or someone has obtained unauthorized access.

Scout and family photos are optional. Permission to store a private photo in this website is separate from permission to publish or use it for publicity. You may request replacement or removal of a photo by contacting us.

7. Emails and your choices

We may email parents about assigned home requirements, leader messages, earned adventures, badge handouts, and outstanding follow-ups. Weekly follow-up reminders are scheduled for Saturdays at 8:00 a.m. Pacific time and are omitted when there is nothing to follow up on. Each linked parent address may receive its own notifications.

If you do not want to receive notification emails at an address, notify scouts_cubmaster@mapsredmond.org. The administrator can turn off notifications to that address across its associated scout records. This does not delete your account or stop notifications to a different address. A sign-in code you specifically request is a separate authentication message.

Notification emails include this notice: “If you do not want to receive emails at this address, please notify scouts_cubmaster@mapsredmond.org.”

Replies to weekly reminders go to that mailbox and may be read by authorized pack administrators. They do not automatically become messages in the website.

8. Security and browser storage

We use authenticated access, permission checks, secure transmission, and other reasonable safeguards to protect information. No online service can guarantee complete security. Report suspected unauthorized access promptly to scouts_cubmaster@mapsredmond.org.

The website uses browser storage and authentication technologies to maintain sign-in sessions and preferences. Remembered sign-in can keep you signed in on a personal device. Sign out on shared devices; clearing or blocking browser storage may require you to sign in again or prevent features from working.

Change logs may identify the person who set or changed a value, when it was recorded, and the prior and updated values. These records support accuracy and accountability and remain subject to the retention and deletion rules below.

9. How long information is kept

While a scout remains registered in successive scouting years, their account and advancement history are carried forward.

After the end of their final registered scouting year, normally ending in June, we retain the family's website records for 30 to 360 days. This allows time to copy advancement to Scoutbook and gives parents an opportunity to obtain a copy. Records are removed from this system no later than 360 days after that year ends. An earlier parent-requested deletion takes priority over this ordinary retention period.

Leader account information is kept while needed for an authorized role. Leaders may also request deletion of their personal information through the contact address above.

The applicable removal deadlines cover identifying information in this website's records, photos, messages, logs, retained exports, and copies held for this website by our providers, including backups. Change history is not a basis for retaining personal information indefinitely.

10. Copies, corrections, exclusion, and deletion

Email scouts_cubmaster@mapsredmond.org to request a copy or correction of your information, exclusion from this website, or removal of your personal information and your authorized child's information. Please identify the account or scout concerned without sending unnecessary sensitive documents.

We will verify your identity and authority and confirm the records covered. We will complete deletion from this system within 30 days after receiving your notice, including verification within that period. A request concerning one person does not authorize deletion of another parent's independent account or another family's information.

Deletion removes the covered website records and associated access. It does not itself cancel scouting registration. It does not cover Scoutbook or Active.com, which are managed separately, or other independently held copies outside our control. Requests concerning those services must be directed to their administrators.

11. Policy changes and contact

We will publish changes with an updated date and version. Material changes will be brought to users' attention and require renewed acceptance. Optional public-photo or other separate permissions will not be inferred from acceptance of this policy.
